Vacancy: Finance administrator

Bristol Ladies Rugby are looking for an experienced finance administrator on a part-time basis.

The Role 

The finance administrator is responsible for the financial management and administration of the organisation. 

Principal Responsibilities 

  • Assisting the CEO and Finance Committee with managing, processing and troubleshooting club accounts and transactions. 
  • Overseeing all financial responsibilities of the Company, liaising with contracted accountant to prepare and submit the annual company returns and accounts. 
  • Ensure any Tyrells 15, GRFU and RFU accounting obligations are meet in a timely manner.

Full Duties 

  • Perform routine checks for spend vs budget and forecasted final spend, findings to be circulated to the board members monthly. 
  • Manage all the financial spread sheets – sales ledger, purchase ledger and general ledger. 
  • Review and adhere to department budgets – ensuring over spends are reported early. 
  • Prepare required financial statements for the contracted accountant with the help from the other treasurer. 
  • Input on the creation of the annual budget with CEO and other treasurer. 
  • Banking and providing petty cash when required. 
  • Collect information for and prepare payroll payments for employees and HMRC. 
  • Create, send and follow up on invoices. 
  • Receive authorisation from departmental managers and process supplier invoices, organise weekly payments to suppliers. 
  • Reconcile supplier statements and resolve any discrepancies. 
  • Adhere to the company's financial policies and procedures. 
  • Report any troubling discoveries or suspicion of wrongdoing to the proper authorities. 
  • Answers question and provide assistance to stakeholders, customers, and clients as needed. 
  • Process and prepare financial and business forms for the purpose of checking account balances, facilitating purchases, etc. 
  • Attend finance department and company-wide meetings, sometimes assisting with financial reporting to departmental managers. 
  • Signatory on bank account. 
  • Suggest changes or improvements to increase accuracy, efficiency, and cost reductions. 
  • Perform additional duties as assigned by the CEO and finance team.

The Candidate:

  • Must have experience in bookkeeping and knowledge of accounting techniques. 
  • Must have high level of IT skills, with the ability to use a variety of Microsoft office programmes (Word,
    Excel) 
  • Must be able to understand, prepare and present budgets. 
  • Must be capable of interacting with a range of other staff members, volunteers, and players alike. 
  • Must be confident and proactive to deal with any problems that may arise. 
  • Must have an energy and desire to contribute to a successful team environment and energise those
    around them. 
  • Must have high levels of personal organisation and the ability to prioritise work whilst maintaining an
    attention to detail in a dynamic environment. 
  • Must be able to work alone and produce work of a very high standard without supervision. 
  • A knowledge and understanding of Rugby Union is not necessary for the role. 

The Role: 
Paid Role - £9.10 ph. 
Up to 6 hours per week
